We at Finolex Industries Limited (hereinafter referred to as “Finolex/FIL”), are committed to protecting the privacy and security of your personal information. This Recruitment Privacy Notice explains how we collect, use and disclose your personal data during the recruitment process. This notice has been drafted as per the Indian Digital Personal Data Protection Act, 2023 and other industry specific legislations to the extent applicable. Third-Party Disclosure Clause

In the course of our recruitment process, FIL may engage with third-party service providers and partners to facilitate various aspects of our hiring procedures. 

We may collect and process the following categories of personal data about you:

• Contact information (e.g., name, address, email address, telephone number)
• Resume or curriculum vitae
• Employment history
• Educational background
• Professional qualifications and skills
• Any other data qualifying as PII

We at FIL may use your personal data for the following purposes:

• Assessing your suitability for employment
• Communicating with you about the recruitment process
• Resolving any query related to your employment or recruitment
• Verifying information provided by you
• Carrying out referral/background checks
• Complying with legal or regulatory requirements
• Improving our recruitment process
• Suitable future opportunities

We process your personal data on the following legal bases:

• We take consent before processing your personal data for recruitment purpose
• We process your post recruitment data for legitimate purposes including but not limited to:
• for fulfilling any obligation under any law for the time being in force in India on any person to disclose any information to the State or any of its instrumentalities, subject to such processing being in accordance with the provisions regarding disclosure of such information in any other law for the time being in force;
• for the purposes of employment or those related to safeguarding the employer from loss or liability, such as prevention of corporate espionage, maintenance of confidentiality of trade secrets, intellectual property, classified information or provision of any service or benefit sought by a Data Principal/Data Subject.

We may share your personal data with the following categories of recipients:

• Employees involved in the recruitment process
• Third-party service providers assisting with recruitment
• Legal or regulatory authorities, as may be required by law

Your personal data may be transferred to countries outside India that may not provide the same level of data protection. In such cases, we will ensure adequate safeguards are in place to protect your personal data.

Our policy is to retain personal data only for as long as it is needed for the purposes described in the section “Purposes of processing”. Retention periods vary in different jurisdictions and are set in accordance with local regulatory and professional retention requirements. In order to meet our professional and legal requirements, to establish, exercise or defend our legal rights and for archiving and historical purposes, we need to retain information for significant periods of time. The total retention period is defined and will be implemented in accordance with the Finolex data retention policy and applicable data protection laws. Log Data will be retained in accordance with the IT Logging Policy and CERT-IN guidelines. After the end of the data retention period, your personal data will be deleted. 
We shall, unless retention is necessary for compliance with any law for the time being in force, erase your personal data if you withdraw consent as soon as it is reasonable to assume that the specified purpose of such data is no longer necessary.  However, if necessary, as per policy we may retain your information for our compliance with legal, accounting, or reporting obligations or for archiving purposes as per the requirement of Indian Digital Personal Data Protection Act,2023, as amended from time to time or any applicable law in force and/or the Act.

We will protect the confidentiality and security of information we obtain in the course of the recruitment process. Access to such information is limited, and policies and procedures are in place that are designed to safeguard the information from loss, misuse, and improper disclosure.

Depending on the applicable jurisdiction, you may have certain rights in relation to your personal data, including:

• To request details and access of the personal data that Finolex processes about you (“right to access”)
• To have your personal data corrected, for example, if it is incomplete or incorrect (“right to correction”)
• To restrict or object to the processing of personal data or request the erasure of your personal data (“right to object”)
• To receive a copy of the personal data which you have provided to Finolex in a structured, commonly used and machine-readable format which you can re-use for your own purposes  (“right to data portability”)
• Where you have provided consent to the processing of your personal data, the right to withdraw your consent. (“right to opt-out”)
• Where you can nominate an individual to exercise the above-mentioned data subject rights in case of death or incapacity (“right to nominate”)
• The right to complain to a data protection authority (see section “Complaints”)

The amended version will be effective as of the date it is published.
